X Administrative Assistant/ Receptionist (Part-Time)

Description

The Administrative Assistant and Receptionist Relief provide general office support including front desk backup, ongoing administrative functions, and special projects. The Administrative Assistant provides excellent customer service to internal and external customers and provides clerical and administrative support to some departments as designated by supervisor. As front-desk backup, this position is the first point-of-contact for customers, vendors and guests of 1st Global and as such provides a positive first impression. This position requires a customer service-oriented and organized individual.

Functions

·         Cover Front Desk as needed and as back up for Receptionist’s breaks, lunches, and days off. Answer phones promptly and courteously, greet and assist visitors to the office, Perform all job functions of the Receptionist when providing backup support.

·         Organize and maintain all common areas of the office, including but not limited to conference rooms, coffee bar, and lobby area. Maintain conference and training rooms before and after scheduled meetings.

·         Ensure coffee bar and reception refrigerator area is fully stocked with soda, water.

·         Relieve front desk (10:30-10:45a, 1:00-2:00p and 3:15-3:30p) each day.

·         Answers phones, screen and forward all calls.

·         Greet all visitors in a friendly and courteous manner. Notify staff of guest arrivals.

·         Print office visit calendar each day for visiting guest.

·         Library / Subscription inventory

·         Use Outlook to reserve conference rooms.

·         Ensures water is stocked in refrigerator.

·         Manage front desk and lobby appearance.

·         Pickup garbage, arrange conference room chairs and dust as necessary.

·         Work with Front Desk Lead with updating of employee phone list

·         May assist with C-Level Assistants in related tasks and projects.

·         May assist with Human Resources related tasks and projects.

·         May assist Office Services in mailings (i.e. stuff envelopes, adhere labels, seal envelopes)

·         Assist with special projects in other departments as needed. Check in with supervisor to provide assistance and to request additional projects whenever possible.

Qualifications

·         High School Diploma or equivalent

·         Two years of related experience

·         Must have MS Office experience

·         Able to read and write in English

·         Must possess proficient computer skills including working knowledge of Microsoft Office products, especially Word and Excel.

·         Excellent written and verbal communication skills

·         Strong customer service and team skills; must interact effectively with clients, co-workers and management

·         Strong attention to detail and solid organizational skills
